ISB Confidentiality Policy
We believe that students and their families have a right to privacy, and that collaboration is essential in helping all children to meet their academic potential. It is our professional obligation to balance confidentiality with access to information to support learning. ISB's practices are based upon legal and ethical guidelines used in leading educational institutions from around the globe.
Responsibilities of all ISB Employees
Student records and information about student health, counseling and learning support should be accessed only by ISB personnel with a legitimate educational interest. The nature of a student’s needs and support, assessment results, and related learning support documents are confidential and should only be disclosed to those responsible for the educational experience of the student.
It is a professional obligation of all ISB employees to safeguard confidential information given and received both verbally and in writing. If you copy, print or save confidential documents, you are responsible for ensuring that they are kept in a secure location and shredded or destroyed when no longer needed. Confidential conversations will take place in private.
Additional Responsibilities for Student Services Personnel
It is a professional responsibility for Student Services staff to remind others about confidentiality. Psycho-educational testing, evaluations and outside assessments may be shared with teachers working with the student. Discussion and interpretation for staff is the responsibility of the Student Services staff. If teachers wish to have more in depth interpretation or information from an evaluation, they may request a meeting with the specific Student Services staff member.
When emailing ILPs, Accommodation Plans, behavior support plans or assessment reports outside of the learning support team or uploading them to the Student Support Database, they will be converted to PDF files so that third parties cannot alter them. Student names should not be used in the subject line of an email.
File Storage
Confidential documents related to Student Services (learning support-related consent forms, psychoeducational, speech/language and emotional/behavioral assessment reports, Individual Learning Plans (ILPs) and ILP progress reports, and Accommodation Plans) are kept separately from cumulative educational records in a confidential Shared Google Drive. Highly confidential student information is also protected with a password. Health-related documents are kept in the nurses office. Counselors also maintain files related to counseling support. Information about learning support, health, and counseling support are shared with people outside of ISB only with signed parental consent.
Parents may access their child’s confidential school records by contacting their child’s counselor or school psychologist. Confidential files will be kept in a locked, central location in each division or in a secure, password protected, Google Drive.
The documentation, storage, and sharing of concerns about child abuse and/or neglect are detailed in a confidential Shared Drive that is accessible by administration and counselors.
